Welcome to InvoiceX, a service provided by JustX. We respect your privacy and are committed to protecting your personal information in compliance with the Protection of Personal Information Act (POPIA) of South Africa.

1. Information We Collect

To provide you with our document generation and management services, we collect the following types of information:

  • Account Data: Your first name, last name, email address, and optional phone numbers required to authenticate and manage your account.
  • Business Profile Data: Information you provide about your business entities, including business names, tax numbers, and banking details to render on your stationery.
  • Client Address Book Data: Information you enter about your own clients (names, emails, physical addresses). You remain the Responsible Party for this data under POPIA; InvoiceX acts as the Operator processing it strictly to generate your documents.
  • Device & Usage Data: Guest document drafts are stored locally on your device (via localStorage) until you register an account. We collect standard server logs for security and performance diagnostics.

2. How We Use Your Information

We strictly use your data to:

  • Generate, render, and store your quotes, invoices, and receipts.
  • Facilitate the delivery of documents to your clients via email.
  • Manage your Premium subscription and billing cycles.
  • Provide customer support and critical system notifications.

3. Third-Party Service Providers

We do not sell, rent, or trade your personal information. We only share necessary data with trusted service providers to operate InvoiceX:

  • Payfast: To securely process ZAR subscription payments. InvoiceX does not store your credit card numbers; we only store encrypted billing tokens and transaction statuses.
  • Resend: To dispatch transactional emails (e.g., OTP codes, account alerts, and PDF invoices sent to your clients).

4. Data Retention & Deletion

We retain your information as long as your account is active. To protect your historical financial records, deleting a client from your address book performs a "soft delete," which hides the client from your active dashboard while preserving the integrity of previously issued tax invoices. You may request a complete account deletion and data purge by contacting our support team.

5. Your Rights Under POPIA

As a South African user, you have the right to:

  • Request access to the personal information we hold about you (available via our CSV export tools).
  • Request corrections to inaccurate or incomplete data.
  • Object to the processing of your personal information.
  • Request the deletion of your personal data, subject to SARS financial record-keeping requirements.
